Are you a people person who prides yourself on the ability to form and maintain strong relationships? As Bid Coordinator, it will be your job to do just that—cultivate strong relationships with subcontractors, suppliers, and vendors, forming lasting business relationships that produce accurate, competitive bids in a timely manner.

In this role, you will work closely with our project management and business development teams to ensure the smooth and efficient preparation and handoff of our bid packages. Organization and attention to detail are key as you adhere strictly to deadlines and quality standards from initial bid identification to final submission.

This dynamic position is also responsible for conducting thorough research and analysis to identify potential subcontractors for future projects. You will gather and organize all information contained within our extensive solicitation database, verifying their prequalification details and gathering appropriate details wherever they are missing. You will also collaborate with various internal stakeholders to gather accurate project information to send out with bid solicitations, such as project plans and specifications. Your attention to detail will be crucial in ensuring compliance with project requirements and managing project risks.

Requirements

Duties & Responsibilities:


  • Support the estimating and project management teams with new and current bids

  • Maintain professional relationships with subcontractors by staying in regular communication via phone and email during bids, clarifying scopes of work as needed

  • Timely follow-up with all external stakeholders following bid submissions

  • Continually update subcontractor list with current contact information and any new, prequalified companies

  • Assist with the preparation and submittal of bid documents, ensuring the company meets the necessary criteria to bid on specific projects, and partnering with the Marketing team when necessary

  • Track active bids via various online portals and follow up on key milestones throughout the bid process

  • Attend pre-bid meetings and events as needed

  • Willingness to jump in and self-start

  • Track and update yearly Win/Loss Analysis

  • Assist estimating staff with various administrative tasks as needed

  • Write professional letters and emails as requested

  • Participate in lessons learned meetings and post-bid reviews


Qualifications:


  • Strong customer service skills – phone calls and email communication will be a large part of your workload

  • Team- and relationship-oriented

  • Professional communication skills

  • Solid organizational skills, including multitasking and time management as well as

  • Thrives in a fast-paced atmosphere with tight and unyielding deadlines

  • Independently motivated with the ability to learn quickly

  • Prior experience in the construction industry, particularly with bid coordination, and ability to read drawings is a plus

  • Proficient in MS Office Suite, especially Excel

  • Valid driver’s license
